How to use Quarvex

A quick guide to each part of the app. Click a topic to jump to it.

Getting started

You'll be up and running in a few minutes.

1. Click Start free trial and register with your name, email and a password.
2. Tell us whether you're a business or an accountant / bookkeeper — this sets up the right view for you.
3. Add your company (or your practice) to create your first workspace.
4. Open Settings and add your VAT number, address, logo and bank details so they appear on your invoices.

Every feature is included on every plan — you choose a plan only by how many companies or clients you manage.

Dashboard

Your home screen and a live snapshot of the business. It shows total income, expenses, outstanding invoices and net profit, plus a VAT summary (VAT charged, VAT paid, and VAT due to HMRC). Everything updates automatically as you add invoices, purchases and expenses.

Sales: invoices, quotes & credit notes

Create professional sales documents and get paid faster.

  • Build invoices and quotes with line items — description, quantity, unit price and VAT rate. Totals and VAT are worked out for you.
  • Start typing a customer name to pick an existing one, or add a new one on the spot.
  • Turn an accepted quote into an invoice in one click.

Stock

Keep track of the items you buy and sell. Record a name, SKU, unit, cost price, sale price, quantity and a minimum reorder level. Use stock adjustments to record stocktakes, damage or returns.

Fixed assets

Record equipment and other assets. Enter the purchase cost, date and an annual depreciation rate, and Quarvex calculates depreciation and net book value for you.

Budget

Set budgets by category (for example Materials, Marketing or Salaries), monthly or annually, and compare your budget against actual spending.

Cash flow

Forecast your money in and out over the next 30, 60 or 90 days. Enter your current bank balance as the opening figure and choose whether to include overdue invoices. Quarvex shows expected in, expected out, net position and closing balance.

Reports

See how the business is really doing. Quarvex builds your Profit & Loss, Balance Sheet, Aged Debtors and Aged Creditors, plus a VAT summary, from the invoices and expenses you enter. Filter by period and review at any time.

VAT & HMRC (Making Tax Digital)

File your VAT returns digitally to HMRC, the MTD-compliant way.

1. Go to the VAT section and click Connect to HMRC.
2. Sign in with your HMRC details and grant access.
3. Quarvex shows your VAT obligations (the periods due).
4. Review the figures and submit your return.

Working with an accountant? They can prepare the return and send it to you to approve before it's filed — so you stay in control of what goes to HMRC.

AI invoice scanning

Save typing. Upload a supplier invoice as an image or PDF and Quarvex reads the supplier name, invoice number, date, net, VAT and total, then fills them in for you to check.

Importing data (CSV)

Moving from another system or a spreadsheet? Import your sales and purchases from a CSV file. Download the template, paste in your rows and preview them — Quarvex adds the entries, creates any new customers or suppliers for you, and skips duplicates.

For accountants & bookkeepers

Manage many clients from one login.

  • Each client is a separate company with its own books, kept completely apart.
  • Switch between clients from the top-left selector, or see them all on the Clients screen.
  • Your own practice sits under My Business with the full toolset for your own invoicing and expenses.

Team & roles

Invite people to a company by email. Owners control everything; Accountants manage the books and can file (or request to file) VAT; Staff handle day-to-day data entry. You can change roles or remove access at any time.

Set each company's details — name, VAT number, address, logo, email, phone and bank/payment details — which appear on the documents you send. Run more than one business? Add extra companies (up to your plan's limit) and switch between them instantly.

Terms & Conditions

These Terms & Conditions form a binding agreement between you and Britannia Digital Limited for your use of Quarvex. Please read them carefully — by creating an account or using the service you accept them. Last updated 29 June 2026.

1. Who we are & key terms

Quarvex is a cloud accounting service operated by Britannia Digital Limited, a company registered in England and Wales (company no. 17253824), registered office 66 Paul Street, London, England, EC2A 4NA ("Quarvex", "we", "us", "our"). "Service" means the Quarvex web application and website. "You" means the person or business using the service. "Content" means the data and files you enter or upload.

2. Eligibility & your account

  • You must be at least 18, able to enter into a contract, and authorised to act for any business you add.
  • Provide accurate registration details and keep them up to date.
  • Keep your password secure. You are responsible for all activity under your account, and must tell us promptly if you suspect unauthorised use.

3. Subscriptions, plans & billing

  • Plans are priced by the number of companies or clients you manage. All features are included on every plan.
  • Fees are shown in GBP and exclude VAT, which is added where applicable.
  • You pay in advance, monthly or annually; annual plans are offered at a discount.
  • Subscriptions renew automatically for the same period until cancelled.
  • Payments are handled by our payment provider (Stripe). We never see or store your full card details.
  • If a payment fails we may retry it and may suspend access until it is settled.
  • We may change prices and will give you reasonable notice before a change affects a renewal.

4. Free trial

Where a free trial is offered, you can use the service for the stated period. A payment method may be required to start it; unless you cancel before the trial ends, your plan begins and the first payment is taken. We may change or withdraw trial terms at any time.

5. Cancellation & refunds

You can cancel at any time from your account. Access continues until the end of the period you have already paid for, after which the subscription ends. Except where the law requires otherwise, payments already made are non-refundable, including for partly used periods.

6. Your data & ownership

You own the Content you enter. You grant us the limited right to host and process it solely to provide and improve the service. You are responsible for the accuracy of your Content — including any figures submitted to HMRC — and for keeping your own copies of important records.

7. Data protection & security

We process personal data in line with our Privacy Policy and UK data protection law (UK GDPR and the Data Protection Act 2018). We use appropriate technical and organisational measures to protect your data, but no online service can be guaranteed completely secure.

8. Making Tax Digital & HMRC submissions

Quarvex helps you prepare and submit VAT returns to HMRC under Making Tax Digital. You remain solely responsible for reviewing and confirming every figure before submission, and for meeting your own tax obligations and deadlines. Submissions are sent to HMRC's systems; we are not responsible for HMRC outages, rejections or processing.

9. No professional advice

Quarvex is a software tool. It does not provide accountancy, tax, legal or financial advice, and nothing in the service should be relied on as such. If you need advice, please consult a suitably qualified professional.

10. Accountants & agents

If you use Quarvex to act for clients, you confirm you are authorised to do so and, where you file as a tax agent, that you hold the necessary HMRC agent authorisation and any required supervision (such as anti-money-laundering supervision). You are responsible for your clients' data and for your own arrangements with them.

11. Third-party services

The service relies on third parties such as HMRC, our payment provider and email delivery. Their availability is outside our control, and your use of them may be subject to their own terms.

12. Acceptable use

You agree not to misuse the service, interfere with its operation, attempt unauthorised access, reverse engineer it, resell it without our permission, or use it for unlawful purposes. We may suspend or restrict accounts that breach these terms.

13. Intellectual property

The service — including its software, design and branding — belongs to Britannia Digital Limited and its licensors. We grant you a non-exclusive, non-transferable right to use it for the duration of your subscription. Your Content remains yours.

14. Availability, maintenance & backups

We aim to keep the service available but do not guarantee uninterrupted access. We may carry out maintenance and updates, and may add, change or remove features. We take reasonable steps to back up data, but we recommend you export and keep your own records.

15. Suspension & termination

You may stop using the service at any time. We may suspend or end your access if you breach these terms, fail to pay, or where required by law. On termination your right to use the service ends, and we may delete your Content after a reasonable period.

16. Limitation of liability

To the fullest extent permitted by law, we are not liable for indirect or consequential loss, or for loss of profit, revenue, data or goodwill. Our total liability arising from the service in any 12-month period is limited to the fees you paid for that period. Nothing in these terms limits liability that cannot be limited by law, such as for death or personal injury caused by our negligence, or for fraud.

17. Indemnity

You agree to cover us for losses and claims arising from your misuse of the service, your breach of these terms, or your breach of the rights of others.

18. Changes to the service & these terms

We may update the service and these terms from time to time. We will publish the current version here and, for significant changes, give reasonable notice. Continuing to use the service means you accept the updated terms.

19. Events beyond our control

We are not liable for failure or delay caused by events beyond our reasonable control, including outages of HMRC, hosting, payment or internet services.

20. Governing law & jurisdiction

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

Privacy Policy

This Privacy Policy explains how Quarvex handles your personal data. Quarvex is operated by Britannia Digital Limited (company no. 17253824), registered office 66 Paul Street, London, England, EC2A 4NA — the "data controller" for the purposes of UK data protection law. Last updated 30 June 2026.

1. What this covers

This policy applies to the Quarvex web application and website, and to personal data we process about account holders, the people they invite, and visitors. We process personal data in line with the UK GDPR and the Data Protection Act 2018.

2. The data we collect

  • Account data — your name, email, password (stored only as a secure hash), and company details.
  • Billing data — your plan, billing address and VAT number. Card details are handled by our payment provider (Stripe); we never see or store your full card number.
  • Business records you enter — invoices, quotes, purchases, expenses, customers, suppliers and similar bookkeeping data, which may include personal data about your own customers and contacts.
  • Tax data — VAT figures and the connection tokens needed to file with HMRC on your instruction.
  • Technical data — IP address, device/browser information and basic logs, used for security and to operate the service.

3. How and why we use it (lawful bases)

  • To provide the service and your account — performance of our contract with you.
  • To take payment and manage subscriptions — performance of our contract.
  • To file VAT returns to HMRC when you choose to — performance of our contract and your explicit instruction.
  • To secure the service, prevent fraud and keep records — our legitimate interests and legal obligations.
  • To contact you about your account and service updates — performance of our contract and legitimate interests.

4. When you enter other people's data

When you add your own customers, suppliers or staff, you are the controller of that data and we process it on your behalf as a processor, to provide the service. You are responsible for having a lawful basis to enter it and for telling those people how their data is used.

5. Who we share it with

We share personal data only with service providers who help us run Quarvex, under contract and only as needed:

  • HMRC — to submit your VAT returns when you instruct us to.
  • Stripe — to process subscription payments and (if you enable it) invoice payments.
  • Hosting provider — to host the application and database.
  • AI provider — to read documents you upload for the optional invoice-scanning feature.
  • Email provider — to send transactional and document emails.

We do not sell your personal data, and we do not use it for advertising.

6. International transfers

Where a provider processes data outside the UK, we rely on an adequacy decision or appropriate safeguards (such as the UK International Data Transfer Agreement / Addendum) to protect it.

7. How long we keep it

We keep your data for as long as your account is active and as needed to provide the service. After you close your account we delete or anonymise personal data within a reasonable period, except where we must retain certain records to meet legal, tax or accounting obligations.

8. Security

We use appropriate technical and organisational measures — including encryption in transit, hashed passwords and access controls — to protect your data. No online service can be guaranteed completely secure, and you are responsible for keeping your password confidential.

9. Your rights

Under UK data protection law you have the right to access, correct, delete or restrict your personal data, to object to certain processing, to data portability, and to withdraw consent where we rely on it. To exercise any of these, email support@quarvex.com. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

10. Cookies

We use only the cookies necessary to sign you in and keep the service working (such as your session cookie). We do not use advertising or third-party tracking cookies.

11. Children

Quarvex is a business tool not intended for anyone under 18, and we do not knowingly collect data about children.

12. Changes

We may update this policy from time to time. We will publish the current version here and, for significant changes, give reasonable notice.
